Position: Office Management Secretary Qualifications ▪ A Bachelor's Degree in secretarial studies with at least three years of experience. ▪ Proficiency in office software, including Microsoft Office (Word, Excel, PowerPoint, and Outlook). ▪ Excellent written and verbal skills in both English and Kiswahili languages. ▪ Strong organizational skills with the ability to manage multiple tasks and priorities. Reporting to the Deputy Principal, Finance and Administration (DPFA) through the supervisor Duties and Responsibilities • Provide administrative support to the office manager or senior executives. • Manage and maintain schedules, appointments, and calendars. • Draft and proofread business correspondence, reports, and other documents. • Maintain effective communication within the office and with external contacts • Create, organize, and maintain physical and digital files and records. • Ensure the office is well-organised and that documents and materials are easily accessible. • Assist in resolving day-to-day operational issues and provide solutions. • Perform any other duties as may be assigned by the reporting officer. Position: Security Officer Reporting to the Deputy Principal Finance and Administration Qualifications: A retired, energetic police officer with at least a diploma in any field. Duties and Responsibility • Be in charge of all Security Guards in the College. • Prepare duty rosters and ensure effective and efficient utilization of the staff under him/her. • Document all security-related incidents, observations, and activities in written reports. • Resolve conflicts or disputes on/off campus involving in a professional and nonconfrontational manner. Act as a mediator when necessary. • Coordinate with local law enforcement agencies when required, and provide them with assistance during investigations or emergencies. • Suggest and implement preventive measures to reduce security risks • Perform any other duties as may be assigned by one’s reporting officer. Position: Documentation and Terminal Vessels Agent

Number of Posts: 4

Duty Station: Tanga Port

The Documentation and Terminal Vessels Agent will play a key role in coordinating vessel operations at the port, ensuring proper documentation, compliance with regulations, and smooth vessel movement during arrival and departure.

The successful candidates will work closely with port authorities, customs officials, shipping companies, and terminal operators to ensure that all vessel and cargo operations are handled efficiently and professionally.

Key Responsibilities

Successful candidates will be expected to perform the following duties:

1. Documentation and Boarding

Prepare and manage all necessary vessel documentation and ensure that ship crew and officials receive proper assistance when vessels arrive at port.

2. Vessel Call Creation

Create and manage vessel call records within the port system to ensure accurate scheduling and coordination of ship movements.

3. Cargo Safety Monitoring

Ensure that cargo operations follow safety procedures and comply with maritime regulations to prevent accidents or damage.

4. Coordination with Port Authorities

Work closely with port authorities and relevant stakeholders to ensure smooth communication and operational efficiency.

5. Smooth Vessel Departure

Facilitate the timely departure of vessels by ensuring all required documentation and clearances are completed.

6. Customs Compliance

Ensure that all cargo and vessel documentation comply with customs regulations and legal requirements.

7. Shipment Tracking

Monitor cargo movement and shipment progress to ensure timely delivery and accurate reporting.

8. Record Keeping

Maintain accurate records of vessel calls, cargo details, documentation, and operational activities for reference and reporting.

Minimum Requirements

Applicants must meet the following qualifications:

Degree, Diploma, or Certificate in a relevant field such as Logistics, Shipping, Maritime Studies, Transport Management, or related disciplines

Minimum of 3 years of working experience in shipping, logistics, port operations, or a related field

Valid Driving License – Class B or D

Good communication and coordination skills

Ability to work under pressure in a dynamic port environment

Strong organizational and documentation skills
